Drug Dispense Assist Client Record Database

Business need:

During public health emergency situations Local health centers distribute mediation to patients within 48 hours of an epidemic. In order to issue medication and record patient health and medication information and to track it, client needed an efficient software solution. They would like to replace the current manual system with a sophisticated and efficient technology solution that ensures quick distribution of medication from multiple locations and tracking patient data and analyzing medication coverage from a single location.

Solution provided:

DA-CRD Windows and Web applications were developed to meet client needs for automating the existing manual system of recording, maintaining and tracking patient's data. We have developed windows application for collecting and organizing patient health and medical information and storing the same at the local health centers that issue medication. Web application was developed to collect the patient data including medication issued to them, from local health centers and to update it to master database.

Local Hospitals and Point of Dispensing units collect medication vouchers from patients and these medication vouchers contain QR Code with complete health information and medication to be issued to patient. Users of windows system input this information by scanning the QR Code appearing on the voucher or manually entering the details into the system. At the same time system facilitates the users to input the medication issued to patients against each medication voucher and stores the information in the local database. Apart from recording and tracking patient information the system also provides features to export, archive patient data, restore and delete archived data.The patient data that is stored in the local database is exported at regular intervals so that it can be uploaded to master database through the web application.

This solution is able to fulfill client needs by significantly reducing the processing time (patient data management) and also by minimizing manual entry. With the current system user is able to process the patient and medication information, track, update and generate reports as per their specific requirement. At regular intervals users can export the patient data to facilitate updation of master database. The exported data appears in an encrypted format and ensure security of data from any manipulations. In order to update the patient information to master database one needs to import the patient data that is exported from windows application.

The web application facilitates collection of patient data from various health centers by importing exported (encrypted) data from windows application and storing the same in the master database through the web interface. Advanced search facilitates the web user to track patient information quickly and efficiently. Web application provides complete information with respect to coverage of vaccination or distribution medication to patients.

Both systems i.e. windows and web, are capable of generating customized reports as required by the respective users who are authorized to access the reports.

Technical Challenges in DA-CRD: (WEB)

1. Importing the encrypted Patient information from POD.

Solution:

After selecting .CSV file from web page, converted the .CSV into an XML file. This XML file passed to the stored procedure. In SP, with the patient unique id, new records inserted and existing records will be updated into specific tables.

2. Ad-hoc Report generation.

Solution:

For this report generation, dynamic user interface is developed by using JQuery. SQL Server queries have provided using C# string Builder to the stored procedure for the required report result.

Technical Challenges in DA-CRD: (Windows)

1. Importing Patient information using QR Code Scanner.

Solution:

Once data is retrieved from patient information using QR Code Scanner, Data has been divided with pipe (|) separator and placed in appropriate columns.

2. Ad-hoc Report generation. Solution:

For this report generation, dynamic user interface is developed and SQL Server queries have provided using C# string Builder and executed using Entity Framework.

Benefits to the Client

1. Able to capture patient data by scanning QR Code appearing the medication voucher.

2. Enable users to quickly distribute the medication / vaccination during emergency periods to arrest outbreak of any diseases.

3. User of both windows and web applications can now generate custom reports as per their need.

4. Exporting patient data in encrypted format from the windows application in order to ensure patient data security.

5. Import encrypted patient data into central database and its decryption using web interface.

Brief Notes:

DA-CRD Windows and Web solutions were developed to automate issues of medication to patients/clients during public health emergency situations. Windows application enables the users to scan QR code from the medication voucher and store the patient information into local database and facilitates issue of medication.

The solution facilitates recording, tracking patient information the system, export (by encrypting data), archive patient data, restore and delete archived data.
